Open Mind Ledger — User Guide

Welcome to Open Mind Ledger (OML) — a financial dashboard that turns your QuickBooks Online data into clear dashboards, reports, budgets, forecasts, and tax estimates.

This guide is written for two kinds of users. Each section is labeled with who it applies to:

Badge Who it means
👤 Admin Accountant / firm owner who sets up the account, connects QuickBooks, and invites clients.
👁️ Member Client / business owner with read-only access to their own dashboards and reports.
🛡️ Superuser Platform operator (internal). Sees every team plus admin tooling.

If a section has no badge, it applies to everyone.


How the product is organized

  • A Team = one client company. Each Team is connected to exactly one QuickBooks Online company file. All of that client's data — dashboards, reports, budgets, forecasts — lives inside their Team.

  • Accountants (Admins) can manage many Teams and switch between them.

  • Clients (Members) see only their own Team, in read-only mode.

A note on your data

Open Mind Ledger reads your QuickBooks Online data to build dashboards and reports. It operates on a read-only basis for reporting — it does not change your books. Where you enter your own information (budgets, loan schedules, tax profiles, adjustments), that data is stored against your Team and used only to produce your reports.
