10. Settings & Your Account

This section covers Team-level settings (managed by Admins) and personal account settings (everyone).


10.1 Team Settings 👤 Admin

Open from the sidebar, or go to /a/<team-slug>/qbo/settings/. The page is organized into cards:

Section What you control
Business Profile The company's basic profile details used across reports.
KPI Overrides (Workforce) Manually set workforce figures (e.g., headcount) so per-employee KPIs are accurate. Also at /qbo/settings/workforce/.
API Usage A view of your QuickBooks API usage.
Report Theme Choose the visual cover style applied to all PDF reports your Team downloads. Thumbnails preview each style; your reports always use your real QuickBooks numbers.
Forecast House Default The default statistical forecasting method used when no per-forecast override is chosen. Members see this default applied.
Data Export API Generate and revoke read-only API tokens (see Data Export API).

Module access is also managed at the Team level (/qbo/settings/modules/) — this determines which modules appear unlocked in the sidebar, according to your subscription.


10.2 QuickBooks connection 👤 Admin

Open Settings → QBO Connection (/a/<team-slug>/qbo/status/):

  • See the connection status and connected company.
  • Refresh Internal Data — re-sync the internal reporting tables on demand.
  • Refresh the connection token, or refresh the vendor cache.
  • Disconnect the QuickBooks company. After disconnecting you can connect a different company to this Team.

Disconnecting & your data. When a Team disconnects from QuickBooks, the data OML synced for that company is purged after a retention window in line with the privacy policy. If you only need to switch companies, disconnect and immediately reconnect the new one.


10.3 Subscription 👤 Admin

Open Settings → Subscription (/a/<team-slug>/subscription/):

  • See your current plan and which modules it unlocks.
  • Upgrade to add modules such as Tax Planning, Budgets, Consolidation, or Advanced Forecasting.

  • Trials show a countdown banner in the sidebar; subscribe before a trial ends to keep access.


10.4 Invite & manage clients 👤 Admin

Open Settings → Invite Client (/a/<team-slug>/qbo/invite-client/):

  • Invite a client by email (read-only Member access to that Team only).
  • See pending invitations and current members.

10.5 My Account (everyone)

Under My Account in the sidebar:

  • Profile (/users/profile/) — your name and personal account details.
  • Change Password — update your password (shown when your account uses a password login).
  • Support — opens the contact page to reach the team.
  • Sign out — from the account widget at the bottom of the sidebar.

10.6 Alert thresholds 👤 Admin

Tune when alerts fire for a Team at /a/<team-slug>/alerts/settings/:

  • Set the thresholds that trigger each rule (e.g., minimum cash runway, receivables aging limits, margin floors).

  • Members see the resulting alerts but can't change the thresholds.


10.7 Admin-only platform tools 🛡️ Superuser

Internal operators see an extra Admin section: Project Dashboard, Impersonate a User, and Platform Analytics (All Users, All Teams/Clients, API Usage, Full Admin). These are not visible to accountants or clients.
