2. Roles & Navigation


2.1 Permission tiers

Open Mind Ledger has three levels of access. What you see in the sidebar depends on your tier and your subscription.

👁️ Team Member (Client)

Read-only access to their own Team:

  • View dashboards (CEO Dashboard, income, expenses, AR/AP, cash flow, EBITDA, payroll).
  • View reports and forecasts.
  • View budgets and schedules.
  • Cannot connect/disconnect QuickBooks, invite users, generate API tokens, or change settings.

👤 Team Admin (Accountant)

Everything a Member can do, plus management of the Team:

  • Connect, refresh, and disconnect QuickBooks.
  • Invite clients and manage Team members.
  • Manage the subscription and which modules are active.
  • Generate and revoke Data Export API tokens.
  • Change settings: report theme, forecast default method, business profile, KPI overrides.
  • Manage multiple client Teams and switch between them.

🛡️ Superuser (Platform operator — internal)

Sees every Team and module regardless of subscription, plus admin tooling:

  • Project Dashboard, Impersonate a User, and Platform Analytics (All Users, All Teams/Clients, API Usage, Full Admin).

  • Superuser access bypasses module gates by design, so internal staff can support any client.


2.2 The sidebar

The left sidebar is your main navigation. It is grouped into sections:

* Industry appears only when your company's industry is mapped to a specialized pack; otherwise it is hidden.

Locked items. If a module isn't included in your plan, it still shows in the sidebar but appears greyed out with a small lock icon and an "Upgrade to access…" tooltip. Talk to your accountant or upgrade your subscription to unlock it.


2.3 Switching between clients 👤 Admin

If you manage more than one client Team:

  • The brand area at the top of the sidebar shows the current Team's name and how many clients you have.

  • Use the switcher (the up/down arrows next to your name in the bottom-left account widget) to jump to another client. Picking a client reloads the app scoped to that Team.

Every URL inside the app is scoped to a team slug — for example /a/acme-co/qbo/ — which is how OML keeps each client's data completely separate.


2.4 Modules, trials & subscriptions

  • Modules are the major feature areas. Which ones you can open is determined by your subscription, not by payment status — access is granted explicitly per module.

  • Trial mode. When a module is on a trial, the sidebar shows a Trial Mode banner with the number of days remaining. When the trial ends, the module locks unless you subscribe.

  • Manage your plan from Settings → Subscription.

2.5 Getting help

The Support link lives in the sidebar under My Account. It opens the contact page where you can reach the team. This link is available to everyone who is signed in.
